SettlePay Driver — Privacy Policy

SettlePay is a fleet-management platform operated by CarDash Inc., used by many independent motor carriers. The SettlePay Driver app is for professional drivers who work with a carrier that uses SettlePay (your "operator"). The app connects your phone to your operator's SettlePay account after you enter a pairing code your operator gives you. Each operator's data is separate; your information is only visible to the operator you pair with. This policy explains what information the app collects and how it is used.
Information we collect
- Location: With your explicit consent, the app records your location during trips — including in the background — so the miles you drive in each state can be counted for your operator's IFTA fuel-tax reporting, and so your operator can see your current position on their live map while tracking is on.
- Photos and documents: Photos you take or attach (vehicle inspection defects, fuel receipts, load paperwork) are uploaded to your operator's account.
- Vehicle inspection reports: Inspection checklists you submit are stored with your operator's records.
- Messages: Chat messages between you and your operator are stored so both sides can read the conversation.
- Device information: A device label, platform, and a secure pairing token identify your phone. If you enable notifications, a push token is stored so your operator's messages can reach you.
How your information is used
Your information is used only to provide the service to you and your operator: settlement statements, mileage and fuel-tax reporting, vehicle inspections, load paperwork, and messaging. It is not sold, and it is not used for advertising.
Location consent and control
- Trip tracking only runs after you agree to it in the app, and you can stop it at any time from the tracking screen.
- If you withdraw consent or your device is signed out, tracking stops and any location data still waiting on your phone is deleted from the device.
- Older location data is automatically purged from the server on a retention schedule; summarized state-mileage totals used for tax reporting are kept.
Data sharing
Your data is visible to your operator and their authorized staff. Service providers that host the app's infrastructure process data on our behalf. We do not share your data with anyone else except when required by law.
Unpairing and requesting data deletion
You can unpair your device at any time from Settings, which signs the device out and deletes locally stored data. To request deletion of records held in your operator's account (such as your profile, photos, messages, and location history):
- Contact your operator, who administers that data and can remove your driver profile, or
- Contact the app publisher via the support email on the app's store listing; we will coordinate deletion with your operator.
When a driver profile is removed, associated personal records are deleted or anonymized. Some records may be retained where required by law (for example, summarized state-mileage totals used for fuel-tax reporting, and settlement records subject to financial record-keeping requirements).
